Customer-Provided Breast Milk for Custom Soap Orders

1. Purpose

This policy establishes the procedures for receiving, identifying, storing, handling, and disposing of customer-provided breast milk submitted for the production of custom breast milk soap.

Customer-provided breast milk is accepted solely as an ingredient for the customer's custom soap order. It is not collected, stored, or distributed for infant consumption.

2. Customer Responsibilities

Customers must provide their own breast milk in a clean, sealed breast milk storage bag or clean, food-grade container with a secure closure.

The container must be labeled with:

  • Customer's full name
  • Order number
  • Date the milk was expressed
  • Quantity provided
  • Whether the milk is fresh or frozen

Customers should provide frozen milk whenever possible.

Pace Hair & Skin Potions reserves the right to refuse milk that is leaking, improperly labeled, contaminated, excessively damaged, or otherwise unsuitable for safe handling.

3. Receiving Procedure

Upon receipt, the milk will be inspected without opening the container.

The business will verify:

  • Customer name
  • Order number
  • Date expressed
  • Condition of the container
  • Whether the milk is frozen, refrigerated, or otherwise temperature-controlled

The receipt of the milk will be documented with the customer's order information.

If the milk arrives thawed, warm, leaking, or otherwise questionable, Pace Hair & Skin Potions may refuse the ingredient and contact the customer before proceeding with the order.

4. Labeling and Identification

Once received, the customer's breast milk will remain identified with the customer's name and order number throughout processing.

Breast milk from different customers will never be combined.

Each customer's milk will be kept associated with their specific custom soap order until the milk has been incorporated into the soap batch.

5. Storage

Frozen breast milk will be stored in a dedicated, clearly identified area of a freezer maintained at 0°F (-18°C) or below until it is ready for processing.

Refrigerated milk will be maintained at 40°F (4°C) or below and processed as soon as reasonably possible.

Milk will not be stored in the refrigerator or freezer door.

Temperature monitoring will be performed using an appliance thermometer.

These temperature controls are based on conservative breast-milk storage practices published by the CDC.

6. Handling and Processing

Breast milk will remain sealed until it is ready to be incorporated into the customer's designated soap batch.

Personnel will wash their hands before handling customer-provided milk and will use clean and sanitized equipment and work surfaces.

The milk will only be used for the customer's designated custom soap order.

Once incorporated into the soap-making process, the milk will no longer be stored separately.

7. Unused Milk

If milk remains after the customer's soap has been completed, the customer may request its return before processing begins.

Once the milk has been incorporated into the soap-making process, it cannot be separated or returned.

Unless otherwise agreed to in writing before production, unused milk remaining after completion of the order will be discarded.

8. Disposal

Breast milk that is unlabeled, leaking, contaminated, spoiled or visibly compromised, received outside the agreed-upon storage conditions, left over after production, or no longer associated with an active customer order may be disposed of.

Milk designated for disposal will be discarded in a sealed manner to prevent leakage, odor, or accidental contact.

9. Customer Consent

By submitting breast milk for a custom soap order, the customer acknowledges that:

  • They are voluntarily providing the breast milk.
  • The milk is being provided specifically for soap production.
  • The milk will not be returned after it has been incorporated into the soap.
  • The finished product is soap for external cleansing use only.
  • The customer is responsible for providing accurately labeled milk and accurate order information.
  • Pace Hair & Skin Potions may refuse or dispose of milk that does not meet the requirements of this policy.

10. Documentation

Each custom breast milk soap order will maintain a basic receiving record containing:

Customer Acknowledgment

I confirm that I have provided my own breast milk for the sole purpose of having it incorporated into my custom soap order. I understand that once the milk has been incorporated into the soap-making process, it cannot be returned.
